Who we are
The Rabbinical Alliance of America, New York, USA ("the RAA", "we") is the data controller. This policy explains what information the Call for Applications system on this site collects, what it is used for, and how it is kept. Questions and privacy requests: office@rabbinicalalliance.net.
What we collect
When you apply we collect: the applying organization's details (name, registration number, address), contact-person details (name, email, phone), event details and budget, bank account details for transferring the participation grant, an electronic signature on the participation agreement (including the IP address and time recorded at signing), and later in the process — event photos, invoices and receipts. We also keep a record of the emails sent and the actions taken while handling your application.
Is providing it required?
You are not legally obliged to provide the information, but it is a condition for reviewing the application and entering into the participation agreement. Without the details required in the form we cannot process the application or make the payment.
What it is used for and on what basis
The information is used solely to process applications under the Call for Applications: reviewing and approving the application, entering into and performing the participation agreement, making the payment, meeting record-keeping and reporting obligations under law, securing the system and preventing abuse, and communicating with you throughout the process. The basis for each purpose: reviewing the application, entering into and performing the agreement, making the payment and verifying the activity through the photos — performance of the agreement with you and the steps you request before entering into it; record-keeping and statutory reporting — compliance with legal obligations that apply to us (including tax and bookkeeping law); securing the system, preventing abuse, documenting the engagement and reporting to the sponsoring bodies — our legitimate interest in running the program properly and transparently. We do not use the information for marketing, do not sell or rent it to third parties, and decisions on applications are made by people, not automatically.
Event photos
The photos you upload may show participants. The applying organization is responsible for informing participants that the event is photographed and that the photos are provided to us, and for obtaining their consent where the law applicable to it requires. We use the photos to verify that the activity took place with the required branding and for reporting to the sponsoring bodies. This page also serves as our notice to participants and contact persons whose details reach us through the applying organization; we ask the organization to point them to it.
Where it is stored
Information is stored with established cloud-computing providers we use for hosting, storage and message delivery, primarily on servers in the United States. For applicants in the EU: transfers of data to providers outside the EU rest on the EU standard contractual clauses, a copy of which is available on request. Access to the information is restricted to the program administrators, and communication with the site is encrypted.
Sharing
Personal information goes only to these recipients: the computing providers we use to operate the system (who act on our instructions); the program's sponsoring bodies, including KKL-JNF — activity details and event photos only, for program reporting, without bank account details; and authorities or other parties where required by law or to protect the RAA's rights. We do not sell or rent information.
Retention
Information relating to applications and payments is retained as long as needed to run the program and to meet statutory record-keeping obligations (including tax law) — generally up to seven years from the end of the year in which the application was handled — after which it is deleted or moved to secure archive. Rejected applications are kept for a shorter period, as needed to document the decision.
Cookies
The site uses essential cookies only: a sign-in cookie for system administrators, and Cloudflare's Turnstile verification to prevent abuse of the form. There are no advertising or tracking cookies, so no cookie consent is required.
Your rights
Under applicable US federal and New York state law (and, for anyone in the EU, under the GDPR), everyone whose data we hold — applicants, contact persons and event participants — may request access to the information held about you, its correction or deletion, restriction of its use, object to processing based on legitimate interest, and receive the information you provided in a structured format — all subject to statutory retention duties. Contact us at office@rabbinicalalliance.net and we will respond within 30 days. Anyone in the EU may also lodge a complaint with their local data-protection authority.
Governing law
This policy and our handling of the information are governed by US federal law and the laws of the State of New York, subject to any mandatory provisions of law that apply to applicants in other jurisdictions.
Changes
The RAA may update this policy from time to time. The binding version is the one published on this page, and the date of the last update is shown at the top.
